MINUTES OF ANNUAL GENERAL MEETING

REVIEW OF FIRST YEAR : STRENGTHS AND WEAKNESSES
R. Webber-Jones pointed out the following successes in the first year:
Receiving the start-up grant from Arts Council England.
Purchasing recording equipment for the organisation.
Recruiting a very large number of members. This was particularly gratifying.
Creating a brand which has become recognisable and recognised.
Receiving money from Global Multimedia UK to host a live event in Leicester (see f. below).
Setting up a constitution.
Setting up the website HYPERLINK http://www.crystalclearcreators.org www.crystalclearcreators.org which is now fully functional.
Recording, producing and broadcasting through the internet site the work of various new and established writers, including Jonathan Taylor, Mitzi Szereto, Victoria Poolman, Jane Liddiard, Iain Mackness, Gareth Watts, Deborah Tyler-Bennett, Amena Khan.
Keeping members informed with regular newsletters.
Hosting two live events, one in Martin Hall Bistro (launch party, 4 March 2004) and one at the Y-Theatre Bar in Leicester (3 June 2004).
Hosting a dayschool on the 30 October 2004 in the Department of English and Drama, Loughborough University. This was a great success and heavily over-subscribed. K. Sharp pointed out how much she had enjoyed the day. Writers and seminar leaders included Deborah Tyler-Bennett, Peter Lewis, Mitzi Szereto and Robin Webber-Jones. J. Taylor said he would email all the new members from the day welcoming them into the organisation and asking them to send biographies for the website.

J. Taylor pointed out the following problems encountered in the first year:
Lost recordings. Recordings by Chris Jones and Maria Orthodoxou have been lost. R. Webber-Jones proposed sending a letter of apology to the writers concerned, offering a years free membership of the organisation and a bottle of wine.

J. Taylor pointed out that this must not happen again and proposed drafting a consultation document about the production process. He proposed that most recordings might be completed and uploaded onto the site in a turnaround period of six weeks. The document will include guidelines about the various steps involved and the time taken in the production process. This would hopefully address issues about the writers input into the production process and the time taken for material to be uploaded. (Draft of document attached to these minutes).

The need for new producers / engineers. J. Taylor pointed out that the organisation has attracted a large number of writers and (female) actors, but producers and engineers are in short supply at the moment. R. Webber-Jones proposed putting up an advert in Loughborough Campus Radio.

It was noted that the bid for a grant from EM-Media to produce a series of c.d.s had been rejected. Everyone involved was thanked for their hard work in this endeavour.
It was noted that the bid for funding for a feasibility study from Social Enterprises East Midlands had also been rejected. This bid was put together in partnership with various organisations in Leicester, with a view to setting up a media centre / recording studio. R. Webber-Jones said that he was still looking into other possibilities in this regard and would keep everyone involved informed.

It was noted that Halifax Building Society shut Crystal Clear Creators bank account without informing the organisation. R. Webber-Jones said he was still waiting for a letter explaining this decision. J. Taylor pointed out that a new account had now been opened with the Alliance and Leicester.
It was noted that the first application to be added to B.B.C. Radio 4s list of recognised independent producers had been rejected. However, it was noted that this was just a first attempt, and that the response had been positive and promising for the future.

Advertise and recruit new members, and especially engineers / producers. See 3. (ii). b above.
Record and upload more material for the site. R. Webber-Jones pointed out that Takeover Radio studio in Leicester might be used for this, as might the new equipment which Crystal Clear Creators has purchased, especially when it came to individual readings. R. Webber-Jones said that the organisation should aim to have recorded two of the new M.A. students on the Creative Writing Pathway at Loughborough University by Christmas. Kate Sharp said she would record some of her poetry on the 19 November when visiting Takeover Radio.

J. Taylor said that a first rehearsal of Mark Callaghans play was planned for the 19 November, and that a recording should follow soon afterwards.

More dayschools. This was proposed by both K. Sharp and J. Taylor. R. Webber-Jones and J. Taylor pointed out that an application was about to be sent off to Awards for All, applying for a grant to fund a series of dayschools, at the end of which an anthology called Speaking Words: Writing for Reading Aloud would be produced. R. Webber-Jones said the application was now ready to be sent off and he would do so in the next few days.

R. Webber-Jones proposed putting together a second application by May 2005 to be put on the list of recognised independent producers for B.B.C. Radio 4.

J. Taylor noted that a proposal to run a dayschool and a series of short programmes was currently under consideration with B.B.C. Radio Stoke, and that it looked very likely that this would go ahead. The dayschool and production process would take place early in 2005.
R. Webber-Jones said that High Peak Radio were still considering the proposal and pilot for a radio soap called The Willows, which had been put together earlier this year. The proposal was now with the Board of Directors. R. Webber-Jones said he would chase High Peak Radio about it this week.

J. Taylor pointed out that the organisation had been operating under two slightly separate names: Crystal Clear Creative and Crystal Clear Creators. This had arisen because the organisation had originally been called Crystal Clear Creative, but this name had been superseded gradually by the name on its logo and website. It was proposed to adopt the name Crystal Clear Creators as of January 2006, when some of the current projects had been completed.
R. Webber-Jones said he had been approached by Kate Squires at B.B.C. Radio Leicester, who was wondering if Crystal Clear Creators might offer something. R. Webber-Jones agreed to put together some notes on this, with a view to producing a full-scale proposal in conjunction with J. Taylor and others in a few weeks.
